Is the data I read used to train AI?

No. Subel never uses the files you give us or the data that is read to train AI.

Which companies’ AI is my data sent to?

• Reading the text in PDFs and images: Microsoft Azure (Japan East region)
• Making tables from the text that was read, and the conversation with the AI on the review screen: Anthropic’s Claude (may be processed outside Japan)
• Answers to questions you search for in Help: Anthropic’s Claude (may be processed outside Japan)

What is sent to Claude is the text that was read and the contents of the tables, not the files themselves. However, on paid plans and during the trial, images of the pages (up to 8 pages per file) are also sent when reading, so that handwritten text, numbers, and similar values are read correctly. When an inspection sheet (a form for writing down the results of inspecting equipment and the like) is read again from the conversation with the AI on the review screen, the page images and your request are sent as well. On the Free plan, images are not sent in either case. The images are made only to be sent and are not kept by Subel. For Help answers, only the question you wrote and the help topics that were found are sent.

When are uploaded files and read data deleted?

• Uploaded PDFs and images: Deleted once they have been confirmed or discarded and 24 hours have passed since upload. Those still waiting in Pending reads are deleted together with the reading result after 14 days.
• What is on the review screen and the conversation with the AI: Deleted 24 hours after confirming or discarding.
• Confirmed reading results (sheets) and reading rules: Kept until you delete them.
• Organizations that stay on the Free plan with no one signing in for 12 months: After telling the Admins by email, the organization’s data is deleted (Organization).

Data that was deleted, or that you deleted, is still kept for up to 7 days in case of failures (it cannot be seen on screen, and only our operations staff can restore it).

Are the questions I write in Help kept?

Of the questions you search for in Help, only the text of questions that had no answer (questions with no related help, and questions the help could not answer) is kept, for 90 days, without recording who asked them. We use it to add more help. The text of questions that were answered is not kept.

When related help is found, the question and that help are sent to Anthropic’s Claude to write an answer based on the help. Only the question and the help are sent, not the contents of your sheets or documents. The questions sent are never used to train AI.

What happens to my data when I delete my account?

For organizations that only you use, all the organization’s data is also deleted. For organizations with other members, the data remains and you just leave. Download any data you need first (Account).

Can I read documents without sending personal information to AI?

No. For making tables and for the conversation with the AI on the review screen, the text that was read and the contents of the tables are sent as they are, including names and addresses. On paid plans and during the trial, images of the pages are also sent (up to 8 pages per file). The data sent is never used to train AI.

A feature that replaces names, addresses, and similar values with made-up ones while reading is available on request (contact us). Organizations that use this feature do not send page images, because text inside images cannot be replaced.
